NWCC Printer Policy

Purpose

This policy outlines the proper use of North Way Christian Community’s production printers (“Snoopy” and “Woodstock”), floor model units, and Brother printers across campuses and departments. The goal is to ensure good stewardship of church resources by managing printing costs and equipment longevity.

Ownership & Costs

  • All production printers, floor model units (i.e. Snoopy & Woodstock), and general use Brother printers are leased from or supplied /supported by an outside vendor.
  • NWCC pays for both the leasing of the machines and the supplies and service costs associated with their use. 
  • Every page printed has a cost—there is no “free printing.”

Quotas & Monitoring

  • Each campus and ministry department may be allocated a printing quota. Printing activity may be tracked and monitored to ensure usage remains within limits. 
  • Each campus/ministry should monitor and manage printer usage and ensuring print decisions are aligned with good budget stewardship.
  • Overages will incur additional costs, which will be billed back to the campus or ministry responsible. IT and Creative are not accountable for overages tied to ministry printing decisions, and overages will be required to be covered via the accountable campus(es) that drove the overage.

Expectations for Printing

  • Staff must exercise extreme discernment when choosing to print.
  • Only print what is necessary. Always consider digital alternatives before printing.
  • Be mindful of whether a job is routed through a production printer or a Brother printer—it all draws from the same budget.
