NWCC Printer Policy
Purpose
This policy outlines the proper use of North Way Christian Community’s production printers (“Snoopy” and “Woodstock”), floor model units, and Brother printers across campuses and departments. The goal is to ensure good stewardship of church resources by managing printing costs and equipment longevity.
Ownership & Costs
- All production printers, floor model units (i.e. Snoopy & Woodstock), and Brother printers are leased from an outside vendor.
- NWCC pays for both the leasing of the machines and the supplies and service costs associated with their use.
- Every page printed has a cost—there is no “free printing.”
Quotas & Monitoring
- Each campus and ministry department will be allocated a printing quota. Printing activity will be tracked and monitored to ensure usage remains within limits.
- Overages will incur additional costs, which will be billed back to the campus or ministry responsible. IT and Creative do not budget for or absorb these costs.
Expectations for Printing
- Staff and volunteers must exercise extreme discernment when choosing to print.
- Only print what is necessary for ministry operations. Consider digital alternatives before printing.
- Be mindful of whether a job is routed through a production printer or a Brother printer—it all draws from the same budget.
Accountability
- Each campus/ministry is responsible for managing its own usage and ensuring print decisions are aligned with budget stewardship.
- IT & Creative will provide the tools, reporting, and guidance for teams to monitor printing
- IT and Creative are not accountable for overages tied to ministry printing decisions, and overages will be required to be covered via the accountable campus(es) that drove the overage.
